INSTRUCTIONS TO THE LANDLORD/ AGENT

Before the Tenant moves into the premises:

(1)

Inspect the premises, complete page one (1) and the ‘Entry Condition Report’ section, marking the 'Clean/Undamaged/Working/Keys' columns as appropriate for each item in the premises. Where a mark is not appropriate for the item, write a description in the “Comments” column.

(2)

If there are any items in the room that are not listed, you can add them to the “Comments” column. You can also use the spare space to detail additional items.

(2)

Sign and date the section headed ‘SIGNATURE ON COMPLETION OF ENTRY CONDITION REPORT’.

(3)

Print three (3) copies of the Inspection Sheet. Give two (2) copies of the Inspection Sheet which have been filled in and signed by the Landlord or the Landlord’s Agent to the Tenant/s, explaining to the Tenant that they must return one (1) signed copy to you.

(3)

Provide the Tenant with either:


(a)

two signed hardcopies of the Inspection Sheet; OR


(b)

a signed electronic copy of the Inspection Sheet.

(4)

Ideally, you will encourage the Tenant/s to talk to you if there are items where they disagree with your assessment of the condition of the premises. If appropriate, you might decide to record any agreement you reach in the “Additional Conditions/Comments” section or attach supporting documentation to the Inspection Sheet.

(4)

Explain to the Tenant to follow the instructions as per the ‘Instructions to the Tenant’ below.

(5)

When you receive the signed copy from the Tenant/s, retain it so you can compare it with the condition of the premises at the end of the tenancy.

At the end of the tenancy, inspect the premises, complete the ‘Exit Condition Report’ section of the Inspection Sheet and sign and date the Inspection Sheet.

 

INSTRUCTIONS TO THE TENANT

At the start of your tenancy:

(1)

The Landlord/Agent must provide you with two copies of this Inspection Sheet.

(2)

Where you receive the Inspection Sheet electronically, print two copies. If you are unable to do so notify the Landlord/Agent immediately.

(3)

Inspect the premises and, where you agree/disagree with the Landlord/Agent description or comment indicate agreement or disagreement with the condition indicated by the Landlord or Landlord’s Agent by placing ’Y’ (YES) or ’N’ (NO) in the Tenant Agrees column and/or provide further comments in the Tenant’s Comment’ column field.

(4)

Sign a copy of the Inspection Sheet, duly completed by yourself, and within seven  days of receipt of the Inspection Sheet return it to the Landlord/Agent, ensuring to retain a copy for your records. If you do not return a signed copy of the Inspection Sheet to the Landlord/Agent you will be taken to have accepted the information contained in the Inspection Sheet as true and correct.

(3)

Return a signed copy of the Inspection Sheet to the Landlord/Agent and retain a copy for your records.


At the end of the tenancy, inspect the premises, complete the ‘Exit Condition Report’ section of the Inspection Sheet and sign and date the Inspection Sheet.

Note: In the case of a dispute arising to do with the condition of the Premises the Tenant may contact the Tenancies Branch of the Office of Consumer and Business Services Affairs.
